Request for Proposal/Quote (RFP/RFQ) Policy
The CLRRA Administrative Policy outlines the purchasing procedures for the General Manager and Board of Directors. Below is an excerpt:
For any Association contracts or expenditures exceeding $2,500 on a single item or service, competitive bids from at least three (3) suppliers must be obtained whenever possible.
The Board of Directors will review all bids, and the selected bid must receive Board approval, which will be recorded in the meeting minutes.
If fewer than three bids are received, the Board may still approve the purchase, provided a reasonable effort was made to solicit bids from at least three suppliers through a formal RFQ process.
The RFQ will be posted on the Association’s website and may also be distributed via mail or email to pre-approved suppliers and other interested parties.
